PART I. – GENERAL TERMS AND CONDITIONS

1. Reservation of accommodation and other services

Reservation of accommodation and other services at the Mezi Švy Hotel and confirmation of this reservation by the person responsible is possible only in writing, i.e. usually by e-mail via the e-mail address hotel@polstrin.cz or via the online reservation system available at www.hotelmezisvy.cz.

Hotel Mezi Seams is entitled to request payment of the full amount of the stay before the booked stay takes place. The refund or non-refund policy is governed by clauses 4 and 5 of these terms and conditions.

2. Cancellation of accommodation and other services

Cancellation of a confirmed booking can also only be made in writing, i.e. usually by email. When booking directly, an email notification of cancellation sent to hotel@polstrin.cz shall be deemed to be a cancellation.  When cancelling a booking that has been made via an external provider (e.g. Booking.com), the booking must also be cancelled via this external provider in the manner requested by the external provider. In this case, a written notification directly to the person in charge of Hotel Mezi Seams is NOT considered a proper cancellation.

3. Change of reservation

A request to change a reservation, i.e. to move the services ordered in the original scope to another date, is considered a cancellation of the original reservation according to point 2. of these Conditions and is governed by the same regime as a cancellation.

4. Cancellation fees

In the event of cancellation of a booking under clauses 2. and 3. of these Conditions, Hotel Mezi Seams shall be entitled to cancellation charges in accordance with these conditions, unless otherwise stated:

Reservation with refund:

Reservations can be changed or cancelled free of charge 24 hours prior to arrival. In case of late cancellation, change or no-show, a charge of 1 night including tax will be applied. 

Non-refundable reservation:

When using the “prepay/non-refundable” rate, full payment of the stay is required on the day of booking. The reservation price is non-refundable. In the event of a change or cancellation, the hotel will charge a fee of 100% of the reservation.

 


This procedure also applies to group bookings, i.e. bookings of multiple rooms. In the event that multiple rooms are booked by the customer and for any reason the requested changes are made to such reservation, the above time limits and cancellation fees will apply.

The Customer agrees to pay the cancellation fees charged in the event that the above conditions are met, or they will be credited against the deposit paid.

 


5. Non-arrival of the client

If the client does not arrive on the booked date and does not cancel his/her reservation in writing, the reservation is cancelled and the provisions of point 4 of these Terms and Conditions apply.

 


6. Check-in and check-out times

Check-in is possible from 14:00. Early check-in is possible if the reserved room is available, free of charge, upon agreement with the hotel reception. The guest is obliged to vacate the room (check-out) by 10 am on the last day of the valid reservation. Late check-out is only possible by prior arrangement with the reception and is not guaranteed. These General Terms and Conditions are contractual and can be modified in special cases by another contract.

7. Information on out-of-court dispute resolution

The guest has the right to submit a proposal for out-of-court settlement of such a dispute to the designated consumer dispute resolution body, which is

Pursuant to the provisions of Section 1837(j) of Act No. 89/2012 Coll., the Civil Code, the accommodated person as a consumer does not have the right to withdraw from the accommodation contract if the accommodation establishment provides the performance within the specified time limit.

These general terms and conditions are effective from 1.6.2022

 

PART II – PRIVACY POLICY

We hereby inform you, the users of our website www.hotelmezisvy customers, suppliers, as the operator of Hotel Mezi švy, about the personal data collection and privacy policy described below.

 


This policy will apply if you use our services, browse our website or contact us in one of the possible ways, i.e. primarily by phone or e-mail.

  • Information you provide to us. This is your personal information that you give us when you contact us or are interested in our services. You usually provide this information by filling in and submitting a form on our website, by ordering our services via email or if you come to stay with us. This includes, for example, your name, surname, email address, telephone number or the name of the organisation you represent.
  • Information we collect when you use our services. We may collect information about how you use our services, how satisfied you are with our services and whether you enjoyed your stay with us.

In the event that you intend to stay with us with your or your wards’ children under the age of 16, we will also process their personal data to the same extent and for the same purposes as for adults.

We process your personal data in accordance with the above Policy on the basis of the performance of a mutual contract or your request, the performance of our legal obligations, our legitimate interest or your consent, if any, given for specific processing. We will always assess whether your consent is required before using information for a purpose not set out in this Policy. If so, we will inform you and ask for your consent.

Our legitimate interests on the basis of which we process your personal data are based on our relationship with you. In particular, our legitimate interests for processing your personal data are:

  • Contacting and informing you in the course of our mutual business relationship, including the possible implementation of direct marketing;
  • improving our services;
  • promoting our services;
  • keeping records relating to your economic situation;
  • the effective provision of customer support services; and
  • protecting our legal claims and yours.

We use your data in our internal documentation, where we keep records of where your personal data is stored, how it is secured, whether your data has been deleted, who deleted it and when, so that we are able to demonstrate our compliance with data protection legislation and also to meet our other obligations under other legislation.

You can refuse the processing of your personal data for the purpose of sending you commercial communications at any time and this will not affect our other relationships. If you are unsure whether your consent to receive such communications has been given or you wish to withdraw it, you can simply send us an email with the relevant request to hotel@polstrin.cz or to the other address from which you received commercial communications from us. Withdrawal of consent does not affect the lawfulness of processing based on consent given prior to withdrawal. Your personal data will not be used for the purpose of any automated decision-making, including profiling.

 


HOW LONG WE PROCESS THE INFORMATION WE COLLECT

Your personal information is only ever used for as long as necessary to fulfil the purpose for which it was collected.

WHO HAS ACCESS TO THE INFORMATION

We are careful to protect personal information and never sell databases of personal information. We only pass on personal data to third parties for the purposes stated above, and only to the extent necessary.

Your Personal Data will be processed for us by processors who provide us with

server, web, cloud or IT services;

 


We ourselves process your Personal Data only within the European Union or the European Economic Area.

If we transfer your personal data to third parties, we always do so on the basis of an adequate contract with these parties so that we can monitor how the third parties handle your personal data.

HOW WE SECURE YOUR PERSONAL DATA

We recognise that securing personal data so that it cannot be misused is an important obligation we have to you. Therefore, we strive to effectively use the best possible security measures to prevent the misuse or other unauthorised interference with your personal data. As part of our activities, we will do everything in our power to prevent such a security incident from occurring, in particular, we will regularly train all our employees who come into contact with your personal data on the subject of data protection, we will adopt and familiarise our employees with the internal company regulations governing the protection of your personal data and we will always use modern technical solutions to secure our processing.

However, if, despite our best efforts, a security incident should occur and such incident could pose a high risk to your rights and freedoms, we will promptly notify you of such incident by providing you with an email address and by posting such information on our website, including any necessary details.

We have taken the following measures to safeguard your personal data:

  • Technical measures. We have implemented important technical measures to ensure the security of your personal data, in particular:
  • Password-only access to systems containing personal information;
  • Regular maintenance of the devices on which the data will be stored;
  • Ensuring protection by antivirus, firewall, means to prevent unauthorized persons from accessing personal data and means of processing;

WHAT RIGHTS YOU HAVE IN RELATION TO THE PROTECTION OF YOUR PERSONAL DATA

You have the following rights in relation to our processing of your personal data:

  • the right of access to personal data;
  • the right to rectification;
  • the right to erasure (“right to be forgotten”);
  • the right to restriction of data processing;
  • the right to object to processing;
  • the right to data portability;
  • the right to lodge a complaint about the processing of personal data.
